Setting up SMTP outbound emails with Jetpack CRM

This guide is for those of you using your an external mail server (e.g. your hosting’s webmail, Outlook, or Zoho – via SMTP).

If you’d like to use the default WordPress email setting (wp_mail), you’ll need to follow the guide for wp_mail setup instead.

After you’ve followed the guide to getting to the Mail Delivery wizard, click the “Start Wizard” button to begin adding a mail type.

Sender Details

The sender details let you set the name and email address you want to appear in the “from” section of your outbound emails.

This is usually something like:

Send from name: Widget Company

Send from email: hello@widgetco.com

Note on wp_mail sender email
It’s a good idea to use the same name you use for your webmail/inbox account here, this may help improve your email deliverability.

Mail Server

Next, choose the type of mail server Jetpack CRM will send from. Select the “Custom Mail Server (SMTP)” option.

Those of you familiar with Outlook, Thunderbird, or other similar mail clients will be used to settings such as these. Ultimately, we’re telling Jetpack CRM how to send emails with these settings.

SMTP Details

To make things easier, we’ve provided a list of common email providers you can choose from. Click “Select a common provider” and select your email provider from the dropdown list. This will auto-fill in the SMTP Address and Port for you.

If your provider isn’t on the list, or if all of the details aren’t automatically filled in, you’ll need to enter:

  • SMTP Address: this is your outgoing server (e.g. auth.smtp.1and1.co.uk or smtp.live.com)
  • SMTP Port: Usually this is 587, but it can occasionally be 465 or other values
  • Username: This is usually your full email address, or the first part of your email address before the @ (e.g. you from you@email.com)
  • Password: This is your mail password

Where to find your SMTP Credentials:

All mail providers usually make it easy to find your POP/SMTP details. Often a quick google search for “[your email provider] + SMTP” will provide you with the right page where you can find that info.

While it can be frustrating to try to find your correct SMTP servers, once they’re set up they’re usually solid for years. Jetpack CRM has probing built in, which means if your port isn’t quite right or you’re using a non-standard address for a common provider, it’ll try and work out the right settings for you.

Once you’re confident you’ve entered the correct settings in there, click the “Validate Settings” button.

Validate Settings & Confirmation

Jetpack CRM will now try to send an email using the settings you’ve entered. If everything goes well, you’ll get an email from your new SMTP mail delivery method, and you’ll see a “Confirmation” screen in the mail delivery wizard.

No Confirmation?
If your mail delivery method didn’t return this success screen, please go back and work through the steps above. If you continually hit a wall with this setup, please see the section at the bottom of this guide, entitled ‘SMTP FAQs

When you see the confirmation message in the mail delivery wizard, you’re all set. Click the “Finish” button to finalize and save your mail delivery method.

From the main mail delivery settings page, you can now send a test email, remove mail delivery methods, or add another mail delivery method.

SMTP FAQs

Sometimes it’s not obvious what your mail provider’s correct SMTP settings are, or if they have strict rules on their servers and dislike people using their email service for things such as CRM duties.

We can help as best we can via support, but 99% of cases here are incorrect SMTP settings (particularly the SMTP address & port). While Jetpack CRM itself does try to remedy this, sometimes it takes a little investigation to get things up and running. We recommend contacting your mail provider directly to verify the correct settings, since our support team doesn’t have access to your email hosting account.

Gmail and Google Workspace

As of summer 2022, SMTP for Gmail and Google Workspace no longer work, so you’ll want to switch to the OAuth API-based method to connect your account instead.

AWS SES (Simple Email Services)

If you’re sending a lot of email, or you want really solid deliverability, you can opt to send your Jetpack CRM emails out through a service like Amazon’s SES. This is recommended for high-level users, and we’ve used this ourselves with great success.

After following that guide, you can use your AWS SES credentials as normal in the above guide.
