How do I create a Quote?

Create your Quote

Creating your Quote is super easy in Zero BS CRM.  First up you need to choose which customer to assign the Quote to. Once you’ve done that you can use the Quote Builder but make sure you fill in the Quote Details below first (they’ll be populated into your Quotes)

The Quote Builder

The Quote Builder is a huge timesaver when it comes to creating your Quotes. The Web Design: Example (5) is the template included in the CRM.

Clicking ‘Use Quote Builder’ will load in your template with your Quote Details and save you typing out the whole Quote again with customer information each time.

This populates the usual WYSIWYG editor with your Quote Template but, importantly with

Information Missing from the Quote Template

If you’ve not filled in your Business Information in the Invoice Builder then some of your Quote information might be missing. The Quote Template uses your Business Name and information in the Invoice Builder.

Making your Quote Templates

This is the REALLY powerful part of Zero BS CRM’s Quote capability. You can create as many Quote templates as you like and use them on as many quotes as you like.

The easiest way to know how to do this is to go to the ‘Manage Quote Templates’ link and edit the example provided.

The fields that can be used are also detailed below

##QUOTETITLE##
##QUOTEVALUE##
##QUOTEDATE##
##BIZNAME##
##CUSTOMERNAME##

Once you’re happy with your template, you can save it and use it in future Quotes.

Finalising your Quote

Once you’re happy with the Quote that’s been loaded into the editor, you can finalise it and send it to your customer.

Save the Quote and once you’re saved you can send the Quote to your customer

How do Customers Access their Quote

Quotes are saved inside the Client Portal. If you’ve not generated a Client Portal for the user then they won’t have access to the Quote until you generate it for them.

We’ve added this extra layer of security to prevent quotes being accessed by anyone.

How do Customers Accept the Quote

Once logged into the Portal, customers accept the Quote by entering their email (again) for a final security check and then the work can commence.

If you’re testing out the Quote Functionality by issuing yourself a quote, you may see a 404 page not found.

If this happens you may need to refresh your permalinks. You do this by going into the WordPress Settings and then Permalinks. Once you’re in there you need to set the permalinks to Default, save the page. Then set them back to your original setting and save the page again. The 404 should then go away.

  1. There is no logout button on the client portal. How do they log out?

    1. Hi – there’s a logout link on some of the individual pages but we’ll be added a new logout tab in a future release

  2. I would like to have some of my custom fields in the quote, is there some way to do this?

    1. Hi James, Currently you can’t do this but we’ve got it on the list as a feature request – so I’ll add your vote there and we’ll get to it ASAP.

      1. I concur with James’ request, the current number of fields in the quote is too low for ZBS to be usable. It would be helpful to allow custom fields or to simply add more fields (like quote value 1, quote value 2…).

        1. The template tags, i.e. #fname# etc as per other areas.

Good news, we are centralising this and all places where contacts are assigned will soon be able to use the full plethora of contact tags

  3. hi! i wish would converter my quotes to invoice with one button, someone know how do this? This is possible?

    1. Hi,

Since quotes are more detailed than invoices, it isn’t straightforward to one click convert.

We are looking into the feature of “embed an invoice line items” table into a quote though, but generally, our process is

1.) Write a quote, add a HTML pricing table
2.) Make a draft invoice, same items and prices as per above
3.) Link to the Client Portal Draft Invoice in the Quote
